Vision for this Position
The Office Administrator is the glue that keeps the APIE team connected and moving forward, as we collectively deliver services to support 2,000 Austin ISD students each week. We are looking for someone who believes deeply in our mission and guiding principles.
This role enjoys keeping an office organized, anticipating the needs of colleagues, helping our various departments, and supporting our board of directors.
Job Type: Part-time (20 hours per week; in office and remote work environment)

Job Functions
Administration
- Support administrative duties and ensure the office is operating smoothly
- Arrange logistics for events and meetings each month. Logistical support may include scheduling meetings, making catering arrangements, preparing and printing of materials
- Meet and greet guests at the office and provide support when needed
- Maintain inventory of office supplies, and place orders when necessary.
- Manage the organization’s general email account and usage of conference room
- Ensure maintenance of office machines (e.g. printer/copier) and coordinate with third-party service providers (e.g. IT, phone system), as needed
- Provide administrative support for Executive Director and Board of Directors
- Make bank deposits
- Check our post office box
- Answer phone calls and emails to assist community members and AISD staff with volunteer registration and background check confirmation needs.
- Utilize APIE’s volunteer database to review and update information.
- Communicate with Operations and School Connections about registration and database issues that may occur day-to-day.
- Lead our Glee Club Commitee
Training on APIE systems and processes will be provided.
Minimum Qualifications (Required):
- Outstanding interpersonal and communication skills, both oral and written
- Proficient in Microsoft Excel and Microsoft Word
- Self-starter who requires minimal oversight in performance of job duties
- Demonstrates integrity and honesty, to present accurate and appropriate information, and to exercise excellent judgment in regard to confidential information
- Highly organized and able to manage multiple tasks and meet deadlines
- Strong collaborator who works well independently or on team projects
Preferred Qualifications (Not Required):
- Previous nonprofit and/or event support experience
- Working knowledge of (or ability to quickly learn) Google Workspace products (Gmail, Docs, Calendar, etc.)
- Team player and leadership qualities highly valued
- Bilingual Spanish
Schedule
APIE provides work schedule flexibility. Remote working is available two days per week. Job does require occasional evenings and events.
